Program and Banquet Sub-Committee Purpose & Responsibilities

PURPOSE:  The purpose of the Program & Banquet Committees is to arrange programs and accommodations for the Monthly Association Business Meetings and any other events directed by the BOD.

MEMBERSHIP:  Membership is open to GBAR members.

RESPONSIBILITIES

  • To arrange for sponsorship of Monthly Association Business Meeting / luncheon to allow members to attend at a reduced cost.
  • To arrange with a variety of restaurants for menu and physical set up of business meetings/luncheons.
  • To arrange for or assign responsibility to another person or group for a program or speaker for each meeting. Programs should provide information that is timely and relative to current situations affecting the Association’s members.
  • To provide volunteers to take attendance, collect money and help arrange / distribute printed material.
  • Assist if needed at other Association functions such as Annual Trade Show.

Subsection 1  Program and Banquets Subcommittee (BOD approved November 16, 2004 )

Sub-subsection 1  Guidelines for Association Business Meetings

The Greater BinghamtonAssociation of REALTORS®, Inc.. holds a Monthly Association Business Meeting the second Wednesday of each month during the months of January, February, March, April, June, August, September, October and November. The date will be changed if there are conflicts.  These Guidelines and Procedures do not refer to the Trade Show Lunch usually held in May or the Installation Luncheon usually held in December.

1    In each of these months, our Members (all categories as described in Bylaws Article IV - Membership) and Affiliates have an opportunity to attend the Association Business Meeting that is held at a local area restaurant. These luncheons are offered at a reduced price made possible by a sponsorship.  Any Principal Broker, Principal Appraiser or Primary Affiliate in good standing with GBAR can sponsor a Monthly Association Business Meeting at the current sponsorship rate. There is the condition that there will be no direct solicitation of the members by the sponsor.

2.   Members and Affiliates are allowed to bring a guest(s) at the current guest price.  Guests are expected to be a one time attendee.  The number of guests could be limited depending on available seating. 

3.   The maximum luncheon price is $16.00.  The committee is directed to obtain the best price possible up to this amount.  The amount is covered as follows;  Each paying Member attendee - $7.00.  Monthly sponsor $6.00 per attendee.  Guests will pay $9.00 ($2 more than Members).  The Association supplements the difference between $13.00 and the amount billed by the restaurant.

4.   Effective with the August 2001 Meeting, New Members - REALTOR® and Appraiser, (all categories - Bylaws) and Primary Affiliate or Affiliate Representative, after receiving their acceptance letter from the Association, will be able to attend the next scheduled Association Business Meeting at no cost to themelves.  This does not include attendance at the Trade Show Lunch or The Installation Luncheon. New Members reserving a place at the luncheon will be billed for the full cost of the luncheon if they do not attend.

Sub-subsection 2  Reservations and Cancellations

1.    Reservations must be made with the Association Office no later than noonon the Monday before the Association Business Meeting unless the restaurant requires a different schedule.

2.    Cancellations must be made with the Association Office no later than noonon the Monday before the Association Business Meeting unless the restaurant requires a different schedule.

3.    Anyone making a reservation and not attending will be billed at the full price of the meal. This would include "new Members" who are attending their first luncheon. Currently this amount is $13.00.

4.    Anyone who attends without making a reservation will be charged the appropriate Member or Guest price. Seating of these attendees will be at the restaurant’s discretion.

Sub-subsection 3  Luncheon List

1.   The names of our members on the current Permanent Luncheon List are on record at the Association Office.  Anyone who wishes to be added to or removed from this list must contact the Association Office.

2.   Members or Affiliates on the Permanent List do not need to call for reservations unless a menu choice is required..

3.   Members or Affiliates on the Permanent List must call the Association Office no later than noon the Monday before the  meeting (unless this date is changed by the restaurant) to cancel their reservation.  If you have a reservation and do not attend,  you will be` billed for the full cost of the meal charged by the restaurant. Currently, this is $13.00.

4.   The Reservation and Cancellation Procedures and the Permanent Luncheon will appear quarterly in the REALTOR Review.

5.   The President, Executive Officer and Director of Education are on the Permanent Luncheon List at no cost to the individual. Other Association Staff, if required to attend a luncheon, would do so at no cost to themselves.

6.   The Program speaker and one guest are admitted to the luncheon as guests of the Association.

 

Sub-subsection 4  Attendance at Luncheon

On the day of the luncheon, attendees will check in at the Attendance Table, pay the indicated amount by cash or check and be sure they are recorded as present. New Members, attending their first luncheon as guests, will receive a name tag. Anyone who has not made a reservation will be seated if restaurant space allows. The Sponsor of the luncheon may elect to have their luncheon total billed to them with their sponsorship amount.  The Sponsor is  allowed to bring their staff paying the Member price (this number could be limited depending on available seating).

Sub-subsection 5  Luncheon Program/Agenda

1.       The Program and Banquet Subcommittee will:.

a.    Schedule the restaurant for the luncheon

b.    Schedule one sponsor for each luncheon. The planned sponsor will have 5 - 10 minutes to present information about their business/products. Only the sponsor is allowed to distribute advertising materials. There will be no direct solicitation of the Members by the sponsor.

c.    Schedule a program and/or speaker for each luncheon. The speaker will have 10-15 minutes to present their topic.

2.       New Members of the Association (REALTORS® and Affiliates) who have received their acceptance letter from the Association and have made a reservation will be presented to the Membership at the luncheon.

3.       The President of the Association will make final approval of the Agenda.
